About the job

We are looking for an experienced administrator to join our ever-expanding team.  Reporting to our Operations Supervisor, you will be responsible for assisting the management team with clerical duties, admin systems and support. The main duties of the role include, but are not limited to:

-       Process requests for fuel vouchers and food parcels

-       Reception duties to support the triage team, including client contact face to face, by phone and email and maintaining electronic appointment calendars

-       Provide information to clients where appropriate, including details of other agencies

-       Take minutes of meetings

-       Update online client case records including scanning documents to ensure continuity and confidentiality and ensure records are accessible for future retrieval

-       Undertake research work and reports for management and other staff

-       Monitor and order stationery and other office items

-       Manage and update online team calendars

-       Ensure all staff are using appropriate Bureau systems and procedures

-       Identify improvements in Bureau systems

-       Maintain confidentiality about clients and their contact with the Bureau

-       Undertake any other reasonable duties as specified by line manager

The successful candidate will be an all-rounder, with exceptional organisational and multi-tasking skills who is keen to learn. You will demonstrate strong oral and written communication skills and the ability to use initiative, as well as take direction.  Proficiency using a range of IT tools to carry out your work as well as a sound knowledge and proven experience of using software including Microsoft Word and Excel and web/cloud-based systems is essential. Committed, results-driven and supportive to the needs of others, you work well within a team and are willing to follow and develop agreed procedures.
